We are looking for a friendly, organized, and customer-focused Front Office Executive to join our growing dental clinic. As the first point of contact for patients and visitors, you will play a key role in creating a welcoming, professional, and positive experience from the moment they walk through our doors.

This position is ideal for someone who enjoys interacting with people, thrives in a fast-paced environment, and has strong organizational and communication skills. You will be responsible for managing front desk operations, coordinating appointments, handling patient inquiries, and supporting the clinical team to ensure smooth day-to-day operations.

Key Responsibilities

Welcome patients and visitors warmly, ensuring a professional and pleasant first impression.
Manage appointment scheduling, confirmations, rescheduling, and cancellations efficiently.
Respond to patient inquiries through phone calls, WhatsApp, email, and in-person interactions in a timely and courteous manner.
Maintain accurate patient records and update the clinic management system regularly.
Assist patients with registration, documentation, billing, payment processing, and insurance coordination.
Keep the reception area clean, organized, and presentable at all times.
Coordinate effectively with dentists, assistants, and other clinic staff to ensure smooth patient flow and efficient daily operations.
Provide patients with information regarding treatments, services, pricing, and clinic policies.
Handle walk-in patients professionally and assist them with the registration and consultation process.
Support administrative activities, maintain office supplies, and perform general front desk duties.
Contribute to patient engagement initiatives and assist with social media communication whenever required.

Requirements

Excellent command of English (spoken and written); proficiency in Tamil is an added advantage.
Outstanding communication, interpersonal, and customer service skills.
Strong organizational and multitasking abilities with attention to detail.
Basic computer proficiency, including MS Office, Email, WhatsApp, and Google Workspace.
Interest in social media platforms and digital communication.
Professional appearance with a positive, approachable, and patient-centric attitude.
Ability to work independently as well as collaboratively within a team.
Prior experience in a dental clinic, hospital, healthcare facility, or front office/reception role is preferred but not mandatory.
Fresh graduates and candidates with excellent communication skills are encouraged to apply.
