Job Title: Executive Assistant (Hospital Administration)
Qualification: Any Graduate
Role Summary
Provide high-level administrative and operational support to senior hospital leadership (Department Heads), with a strong emphasis on documentation, data management, and advanced Excel reporting.
Key Responsibilities
1. Administrative Support
- Manage calendars, appointments, and meetings for senior executives
- Prepare agendas, take minutes, and track action items
- Handle internal and external communication (emails, letters, calls)
2. Documentation & Typing
- Draft reports, official letters, memos, and presentations
- Maintain accurate and well-organized documentation
- High-speed typing with strong accuracy for daily correspondence and reports
3. Excel & Data Management
- Create and maintain MIS reports using Microsoft Excel
- Use formulas, pivot tables, VLOOKUP/XLOOKUP for data analysis
- Track hospital metrics (patient data, billing summaries, staff attendance, etc.)
- Generate dashboards and periodic performance reports
4. Coordination & Communication
- Coordinate between departments (HR, billing, nursing, labs, etc.)
- Follow up on tasks and ensure timely execution
- Liaise with vendors, consultants, and external stakeholders
5. Records & Compliance
- Maintain confidential files and executive records
- Assist in audit documentation (NABH, internal audits)
- Ensure compliance with hospital policies and documentation standards
6. Office Management
- Handle travel arrangements, reimbursements, and expense tracking
- Support event coordination (meetings, training sessions, conferences)
Required Skills
- Excellent typing speed (40–60+ WPM with high accuracy)
- Advanced knowledge of Microsoft Excel (formulas, pivot tables, charts)
- Proficiency in Microsoft Word and Microsoft PowerPoint
- Strong organizational and multitasking abilities
- Good written and verbal communication skills
- High level of confidentiality and professionalism
Preferred Experience
- 1–3 years as Executive Assistant / Admin in hospital or healthcare sector
- Experience in handling MIS reports and documentation
Work Environment
- Hospital administrative office
- Day shifts (may extend during audits or executive schedules)
